The group arrival report is a crucial document for hotel management, providing detailed information about upcoming group reservations. This report includes the group's name, arrival date, number of guests, room assignments, and any special requests or requirements. By consolidating this information, the hotel staff can ensure a smooth check-in process and tailor their services to meet the specific needs of the group.
How to generate a Group Arrival List
All hotel reports are available under the 'Reports' tab in the 'Hotel Management' module. These reports are divided into a few sections - kitchen reports, front office, finance, etc. To generate a Group Arrival List - follow these steps:
- open the 'Hotel Management' module;
- Click the 'Reports'
- click on the 'Group Arrival List' in the 'Front Office' section.

In the upcoming pop-up window, choose the date range - Start Date and End Date - for which the report should be created.

The report starts with a date marking its generation, followed by details about the person who created it and the time it was done.
Each group reservation for a certain date(s) appear in a separate section with a group name above and with a following information:
- Room Type/Room No -room type/number of a certain reservation;
- Guest - a guest name of a certain reservation;
- Check-In and Check-Out - a reservation dates of a certain reservation;
- A/C/I - number of adults, children, and infants.
For group reservations before split the system shows room type plus number of rooms in brackets - Double Room (2), Klassik (4), etc. After split each guest reservation has own room number.
For group reservations before split all room lines has the same guest name. Once the split is done - there is a specific guest name for each room.
For group reservations before split the system shows total number of A/C/I in a certain room line.
